2. Introduction
These terms and conditions (“Terms and Conditions”) govern the relationship between you as a customer (“you”) and Great Northern A/S (“Great Northern”, “we” or “us”) when you book hotel rooms with associated facilities, and when you book functions, meetings and/or events.
The Terms and Conditions describe your legal rights and obligations when booking and using our products and services via the website (www.greatnorthern.dk), email, telephone, or by contacting the reception in person.
Before making a booking, we kindly ask you to take a moment to read these Terms and Conditions. Depending on your booking, certain parts of the Terms and Conditions may apply to your purchase. You will also receive the Terms and Conditions on a durable medium (email) immediately after your booking.
3. Entering into an agreement and age requirements
You are responsible for ensuring that the customer information you enter or provide as part of your booking is correct, as we do not subsequently actively validate or verify this information.
Great Northern requires that you are at least 18 years of age at the time the agreement is entered into. Parts of Great Northern are only accessible to guests over 18 years of age. It is your responsibility to ensure that any facilities can be used by your guests in accordance with the order confirmation.
For example, please note that the spa area is only permitted for guests over 18 years of age (incl. Fitness), and that Great Northern may require presentation of valid ID at the entrance to the spa area.
4. Special conditions for booking our products and services
4.1 Booking hotel rooms
4.1.1 Order confirmation
You will receive an order confirmation to the email address provided once your booking has been completed. This constitutes your documentation of your booking. Your booking is only final once you have received an order confirmation. Changes to what is stated in the order confirmation may only be made following prior written agreement with Great Northern. Only what is stated in the order confirmation is included in the stated price. Any additional consumption will be invoiced in accordance with the price list in force at any time, including in relation to minibar, dining or spa treatments.
4.1.2 Payment terms and consent to payment of amounts
If you make a booking via our booking portal, you also consent to us charging an amount corresponding to the price of your booking to your credit card pursuant to section 82 of the Danish Payments Act. The amount is charged the moment you confirm your booking and is standard practice within the hotel industry.
Your payment information is not processed directly by Great Northern, but by the payment provider we use in our booking system. We accept the following payment methods: Dankort, Visa and MasterCard. The payment provider uses the SSL security protocol, which encrypts information between an internet browser (the cardholder) and an internet server (the merchant). This means that the information transmitted when paying with your card is protected during transmission from your computer to us. As an encryption method for electronic commerce, SSL is widely used and is considered a very secure solution.
The reservation on your credit card will be automatically cancelled if you cancel your booking in due time. You can see our cancellation terms below.
For bookings made by contacting Great Northern in person, the full amount of the stay must be prepaid. Such prepayment is standard practice within the hotel industry.
If you are required to pay a deposit in connection with your booking, the deposit will be charged to the credit card used, in accordance with the payment and cancellation terms set out below.
All payments are made in DKK. All prices include VAT and service.
When paying by credit card, a card fee may apply depending on the credit card you use for payment.
When paying by invoice, the invoiced amount is due for payment 14 days after receipt of the invoice. In the event of late payment, reminder fees and interest will be added in accordance with the Danish Interest Act in force at any time (8% p.a. plus the Danish National Bank’s official lending rate).
4.1.3 Right of withdrawal, cancellation and changes
You do not have a right of withdrawal when booking our hotel rooms pursuant to section 18(2)(12) of the Danish Consumer Contracts Act.
As an additional service, Great Northern in certain cases instead allows a right to cancel and change your booking as further specified below:
Individual reservations
Between 1 and 3 rooms
Cancellation:
• The reservation may be cancelled free of charge up to 48 hours before arrival.
• In the event of cancellation less than 48 hours before the arrival date, 100% of the most recently agreed amount will be invoiced.
Special requirements:
• No later than 8 days before arrival, we kindly ask you to inform us of any guests with
allergies or special requirements that we should be aware of.
Group reservations
Between 4 and 5 rooms
Cancellation:
• The rooms may be cancelled free of charge up to 15 days before arrival.
• Up to 48 hours before arrival, 10% of the reservation may be cancelled free of charge.
• In the event of cancellation less than 48 hours before the arrival date, 100% of the most recently agreed amount will be invoiced.
Participants and special requirements:
• The number of participants must be confirmed no later than 8 days before the start of the event.
• At the same time, we kindly ask you to inform us of any guests with allergies or special requirements that we should be aware of.
Group reservations
Between 6 and 10 rooms
Cancellation:
• Security is provided by reserving the total amount on the credit card at the time of booking, as described above.
• The rooms may be cancelled free of charge up to 30 days before arrival.
• Up to 20 days before arrival, 20% of the originally booked rooms may be cancelled free of charge.
• Up to 48 hours before arrival, 10% of the originally booked rooms may be cancelled free of charge.
• In the event of cancellation less than 48 hours before the arrival date, 100% of the most recently agreed amount will be invoiced.
Participants and special requirements:
• The number of participants must be confirmed no later than 8 days before the start of the event.
• At the same time, we kindly ask you to inform us of any guests with
allergies or special requirements that we should be aware of.
Group reservations
Between 11 and 15 rooms
Cancellation:
• The rooms and the event may be cancelled free of charge up to 45 days before arrival.
• Up to 30 days before arrival, 20% of the originally booked rooms may be cancelled free of charge.
• Up to 48 hours before arrival, 10% of the most recently booked number of rooms may be cancelled free of charge.
• In the event of cancellation less than 48 hours before the arrival date, 100% of the most recently agreed amount will be invoiced.
Participants and special requirements:
• The number of participants must be confirmed no later than 8 days before the start of the event.
• At the same time, we kindly ask you to inform us of any guests with allergies or special requirements that we should be aware of.
All changes and cancellations must be made in writing to Great Northern at booking@greatnorthern.dk, or online via the link in your order confirmation, where you can cancel or change your reservation yourself in accordance with the terms.
Please keep your email cancellation receipt, as it is your documentation that your booking has been changed or cancelled.
4.1.4 Fees
Please note that smoking in non-smoking rooms is not permitted, and a fee will be charged if smoking nevertheless occurs / the room smells of smoke upon departure. A fee will also be charged if additional cleaning or repairs are necessary, and/or if one or more unregistered persons stay overnight in the room. The fee will always be reasonable and proportionate to the actual costs associated with remedying the damage.
4.1.5 Offers and promotions
Offers and promotions apply only for the period stated in the relevant offer or promotion and only while supplies last.
Bookings of promotions and offers cannot be changed once the booking has been completed, but may be cancelled in accordance with the cancellation terms set out below.
As a general rule, no changes can be made to the associated services or experiences to be used within the stated period.
4.2 Booking functions, meetings or events
4.2.1 Order confirmation
Booking functions, meetings or events must be made by contacting Great Northern via the website, by telephone or at reception, providing information about the nature of the function, date and number of participants. Great Northern will then contact you to agree the details.
You will then receive an order confirmation to the email address provided with a detailed description of what has been agreed. This is your documentation of the agreement entered into.
A final agreement on holding the function is only in place once you have received an order confirmation and the agreed deposit has been paid, if such a deposit is required.
Changes to what is stated in the order confirmation may only be made following prior written agreement with Great Northern.
Only what is stated in the order confirmation is included in the stated price. Any additional consumption will be invoiced in accordance with the price list in force at any time, including but not limited to beverages if these are not included in the order confirmation.
4.2.2 Payment terms
If you are required to pay a deposit in connection with your booking, the deposit will be charged to the credit card used, or if the booking was made by contacting us in person, an invoice for the agreed deposit amount will be issued.
Deposit and payment are charged in accordance with the payment and cancellation terms set out below.
All payments are made in DKK. All prices include VAT and service.
When paying by credit card, a card fee may apply depending on the credit card you use for payment. We accept the following payment methods: Dankort, Visa and MasterCard. The payment provider uses the SSL security protocol, which encrypts information between an internet browser (the cardholder) and an internet server (the merchant). This means that the information transmitted when paying with your card is protected during transmission from your computer to us. As an encryption method for electronic commerce, SSL is widely used and is considered a very secure solution.
Upon presentation of documentation, Great Northern may require the guest, even in the event of timely cancellation, to pay for services that cannot be cancelled, e.g. office supplies, IT/technical equipment, catering, music and similar.
In the event of non-attendance and “No Show”, Great Northern is entitled to charge the full price for the entire event, meeting, function and any booked rooms. The terms for booking rooms in addition to the event, meeting or function are set out above.
When paying by invoice, the invoiced amount is due for payment 14 days after receipt of the invoice. In the event of late payment, reminder fees and interest will be added in accordance with the Danish Interest Act in force at any time (8% p.a. plus the Danish National Bank’s official lending rate).
4.2.3 Right of withdrawal, cancellation and changes
Events, meetings and functions booked in your capacity as a business will not be subject to the 14-day right of withdrawal under the Danish Consumer Contracts Act.
Events, meetings and functions booked in your capacity as a consumer (private individual) are generally subject to a 14-day right of withdrawal under the Danish Consumer Contracts Act. The withdrawal period is calculated from receipt of the order confirmation. To exercise the right of withdrawal, you must notify us of your decision to withdraw from the agreement in an unequivocal statement (e.g. by post or email). You may choose to use the standard withdrawal form found at the bottom of this document, although this is not a requirement.
For both businesses and private individuals, the following terms regarding cancellation and changes also apply:

Cancellation:
10% of the originally ordered number of persons may be cancelled free of charge up to 48 hours before the start of the function.
Less than 48 hours before the start of the function, 100% of the most recently agreed amount will be invoiced.
Deposit and payment:
No deposit is required. Settlement is made on the day.
The number of persons and any allergens, etc. must kindly be provided no later than 8 days before the start of the function.
All changes and cancellations must be made in writing to Great Northern.
EVENTS, MEETINGS AND FUNCTIONS UNDER DKK. 30.000, –
Cancellation:
The function may be cancelled free of charge up to 15 days before the start of the function.
Thereafter, 10% of the originally ordered number of persons may be cancelled free of charge up to 48 hours before the start of the function.
Less than 48 hours before the start of the function, 100% of the most recently agreed amount will be invoiced.
Deposit and payment:
No deposit is required. Settlement is made on the day unless otherwise agreed.
The number of persons and any allergens, etc. must kindly be provided no later than 8 days before the start of the function.
All changes and cancellations must be made in writing to Great Northern.
EVENTS, MEETINGS & FUNCTIONS OVER DKK. 30.000, –
Cancellation:
The function may be cancelled free of charge up to 30 days before the start of the function.
Thereafter, 10% of the ordered number of persons may be cancelled free of charge up to 48 hours before the start of the function.
Less than 48 hours before the start of the function, 100% of the most recently agreed amount will be invoiced.
Deposit and payment:
25% of the pre-ordered amount must be paid 30 days before arrival. The prepaid deposit will be deducted from the final invoice, which is settled on the day unless otherwise agreed.
Before we send you a deposit request, we will contact you to follow up on the number of participants.
The number of persons and any allergens, etc. must kindly be provided no later than 8 days before the start of the function.
All changes and cancellations must be made in writing to Great Northern.
Please keep your email cancellation receipt, as it is your documentation that your booking has been changed or cancelled.
4.3 Spa booking
4.3.1 Order confirmation
You will receive an order confirmation to the email address provided once your booking has been completed. This constitutes your documentation of your booking. Your booking is only final once you have received an order confirmation. Changes to what is stated in the order confirmation may only be made following prior written agreement with Great Northern. Only what is stated in the order confirmation is included in the stated price. Any additional consumption will be invoiced in accordance with the price list in force at any time, including in relation to the bar, dining or spa treatments.
4.3.2 Payment terms and consent to reservation of an amount
If you make a booking via our booking portal, you also consent to us charging an amount corresponding to the price of your booking to your credit card pursuant to section 82 of the Danish Payments Act. The amount is charged the moment you confirm your booking and the reservation is standard practice within the hotel industry.

The booking may be changed and cancelled free of charge up to 48 hours before arrival; thereafter, the full amount will be invoiced. In the event of non-attendance, the full amount will also be invoiced.

4.3.4 Special requirements
We kindly ask you to inform us of any guests with allergies or special requirements that we should be aware of, preferably 8 days before arrival.
4.3.5 Age requirement
Please note that you must be at least 18 years of age to visit Great Northern Spa.
4.3.6 Guest registration
A guest profile is created for all our guests. When creating your guest profile, you must provide your telephone number and a photo will be taken of you, so that we know who and how many people are in the spa area, and in order to enforce the spa area’s house rules towards our guests. In connection with creating the guest profile, it is a requirement that you present photo ID as well as your health insurance card. Your photo ID is not registered, but is used to verify the information provided when creating your guest profile.

5.0 House rules
Great Northern has the following house rules for stays in and around the spa area. The house rules have been adopted to ensure a spa environment that invites presence, immersion and relaxation, with room for everyone.
Please note that only registered hotel guests or spa guests who register as a guest with a valid photo ID are allowed to use the spa area. If you cannot show a valid photo ID, you cannot be registered and you will, therefore, not get access to the spa area.
As a guest, you must familiarise yourself with the rules prior to your visit to the spa area. If you cannot accept the rules, you are asked not to visit the spa area.
5.1 Conduct
1. As a guest, you must always follow the house rules, staff instructions and signage in the area.
2. Only the following paying registered guests are permitted to stay in the spa area: registered hotel guests or guests registered with valid photo ID. Only guests over 18 years of age are permitted to use the spa area.
3. ID must be presented upon request by staff.
4. Use of the spa area pools is at your own risk.
5. Please be considerate and show respect for staff and other guests. Noisy, shouting and loud behaviour is not permitted, and movement must be kept quiet.
6. Smoking, use of electronic cigarettes and consumption of intoxicating substances are not permitted in indoor or outdoor areas. It is not permitted to consume or be under the influence of intoxicating substances during your stay at Great Northern.
7. It is not permitted to pour water, oil or anything else on the sauna stoves.
8. Inappropriate behaviour, touching, approaches and language are not permitted.
9. It is not permitted to use electronic devices with a camera or to take photos and video in the changing rooms and spa area.
10. Threatening, harassing or domineering behaviour, as well as permanent occupation of specific areas, is not permitted.
11. It is not permitted to consume food and beverages brought from outside on Great Northern’s premises.
12. It is not permitted to play music or audio during your stay in the spa area.
13. It is not possible to reserve spaces in the spa area for spa guests who have not yet arrived.
14. It is not permitted to use saunas, pools or the spa area for play or physical training.
15. Diving, use of diving equipment and freediving are not permitted in the pools on the premises.
16. All movement and stays must take place in the guest area. It is not permitted to stay in staff areas or to force access behind counters or into closed staff areas.
17. Staff are entitled to refuse groups of guests out of consideration for capacity and guests staying at the hotel.
18. It is not permitted to remove hygiene items, towels, bathrobes, slippers or tableware from Great Northern. Theft will be reported to the police.
19. Staff may request to see the contents of bags – however, compliance with the request is voluntary. Refusal, in the event of suspected theft, may result in the police being called.
5.2 Hygiene
20. When using the facilities in the spa area, for hygiene reasons it is a requirement that guests, without swimwear and using soap, have washed their body and hair.
21. All guests must wear swimwear and use a towel or bathrobe as a base in saunas.
22. Guests must always, at a minimum, wear appropriate swimwear or a bathrobe during treatments or while staying in the spa area. It is not permitted to wear underwear under swimwear, and swimwear must be clean and intended for bathing.
23. Shaving is not permitted in the spa area.
24. All valuables and clothing must be stored in the lockers, and all storage in lockers is at your own risk.
25. The waste bins provided must be used for disposal of waste.
Failure to comply with this Code of Conduct or staff instructions may result in expulsion and/or exclusion from Great Northern.
*Great Northern accepts the following valid photo IDs: Driver’s license, passport, and identification card.
Expulsion will generally apply for a period of 24 months from the date of expulsion, while exclusion will be permanent. The nature of the violation will determine the sanction. In the event of expulsion or exclusion, the guest registration will be retained in order to identify and deny access to the guest.
Payment
Payment terms and consent to payment of amounts:
If you make a booking via our booking portal, you also consent to us charging an amount corresponding to the price of your booking to your credit card pursuant to section 82 of the Danish Payments Act. The amount is reserved the moment you confirm your booking and the reservation is standard practice within the hotel industry.
5. Changes
Great Northern reserves the right to amend the Terms and Conditions if necessary, including in the event of changes in legislation, inflation, regulation, new ownership or practice. Material changes will be notified within a reasonable time before they take effect via email.
6. Reservations
We reserve the right to correct typographical errors, pricing errors, and changes to VAT and duties.
7. Complaints
You have the right to complain about our services and products if you believe that they did not meet what was agreed, promised or assumed.
If you wish to complain about Great Northern’s services or products, please contact us as soon as possible and within a reasonable time after you became aware of the defect.
When contacting us, you must explain what the defect is and enclose the invoice/receipt for the purchase. Great Northern will process the complaint as quickly as possible and within a reasonable time. Great Northern will then send you an email with our assessment of whether the complaint is justified or not.
8. Practical information for your stay
Check-in and departure
You may check in from 15:00 on the day of arrival, and you must vacate the room no later than 11:00 on the day of departure.
If the room is not vacated by 11:00 on the day of departure, Great Northern reserves the right to invoice you for an additional night at the room rate applicable at that time, unless otherwise agreed.
If you do not make use of your booking on the day of arrival, your booking will be deemed forfeited, and if you have booked additional nights in continuation of the day of arrival, these will also be forfeited and may therefore be booked by other guests, and you will be invoiced the full amount.
You are responsible for contacting Great Northern no later than on the day of arrival if you arrive after the end of the day of arrival (23:59), in order to secure your booking and enter into an agreement with Great Northern regarding this.
Reception:
The reception at Great Northern is open 24 hours a day. Free WiFi, parking and bicycle rental are included for guests.
Golf:
If golf has been booked in connection with your stay and your DGU number has been provided, we have reserved tee times in GolfBox. If you wish to change the times, please contact us at booking@greatnorthern.dk. Changes are subject to availability at the time of the change.
We will provide your scorecards at the reception in the clubhouse, where you will also find our pro shop.
Requirements for players on the 9-HOLE ACADEMY COURSE – The course may be played by players with course permission – regardless of handicap.
Requirements for players on the 18-HOLE GREAT NORTHERN COURSE – The course may be played by players with a handicap of 36 or below.
We recommend aiming for a total playing time of no more than 4 hours 20 minutes, to ensure an optimal experience for everyone. Please choose the recommended tee, keep a good pace of play during the round, and allow faster players to play through.
Out of consideration for the greenkeepers’ work, trolleys and buggies are not permitted near green areas or on teeing grounds, and it is also not permitted to drive buggies in the rough. In the areas around the clubhouse and training facilities, buggies must be kept on the paths. To assist you during the round, all distances to the centre of the green are indicated on the sprinkler covers on the fairway.
Our course service cart offers cold beverages, freshly made sandwiches, savoury and sweet treats, should you feel like something along the way.
In some cases, special requirements may apply, e.g. for access to the golf course; these requirements cannot be waived, and a tee-off time may also be set.
Academy:
At Great Northern Academy, we focus on quality and attention to detail. Our facilities provide the setting for dedicated golf training for players of all ages and at all levels. If you wish to book training with one of our skilled coaches, please contact us at academy@greatnorthern.dk
Restaurant Eat:
The area around Great Northern is rich in excellent produce, and we use local suppliers whenever possible. If you have allergies or other requirements the kitchen should take into account, we would very much appreciate knowing before you arrive.
We have reserved a table for you at Restaurant EAT, if this is stated in the order confirmation.
Beverages have not been pre-ordered, but please feel free to contact us for a suggestion for a wine menu.
Breakfast, lunch and dinner are served in Restaurant Eat. Breakfast is served from 07:00 to 11:00.
Room information:
In the room you will find:

Fitness:
At Great Northern, we have a modern fitness centre with the latest cardio equipment, which can take you for a run on the beach in Maui or a bike ride in the Alps. We also have a highly functional strength area with equipment that can challenge the whole body. The fitness centre is located in the spa; please contact reception for access.
The fitness centre may be used between 08:00 and 19:30.
Luggage storage:
The spa reception and the hotel reception will be happy to store your luggage until you are able to check in.
Parking:
You are welcome to park free of charge in our car park. The car park has designated disabled spaces and bays for electric cars.
Please be aware of buggies and crossing cyclists.
9. Complaints:
If, contrary to expectations, we have not met your expectations in connection with your stay at Great Northern, we would very much like to know. You are always welcome to contact us during your stay or afterwards, either via reception, the website or by email at info@greatnorthern.dk.
If we cannot resolve the issue or misunderstanding amicably and you are a consumer, you may submit a complaint to the Danish Hotel, Restaurant and Tourism Complaints Board via the website Forside – hrt-ankenaevn.dk. You may also submit a complaint via the EU Commission’s online dispute resolution portal. This is particularly relevant if you are a consumer resident in another EU country. 10. Data protection and cookies:

11. Choice of law and jurisdiction:
These terms and conditions are governed by Danish law. Any rules on choice of law and the UN Convention on Contracts for the International Sale of Goods (“CISG”) do not apply.
Any dispute that may arise as a result of or in connection with these terms and conditions shall be settled by the Danish courts.

Your photo ID is not registered, but is used to verify the information provided when creating your guest profile.
Guests who do not bring photo ID will be refused entry. Driving licences, national ID cards and passports are accepted.

As a guest, you must familiarise yourself with the Great Northern Spa house rules prior to your visit to the spa area. You can find these via the link above or on our website, and under the payment and cancellation terms when you complete your payment.
Expulsion will generally apply for a period of 24 months from the date of expulsion, while exclusion will be permanent. The nature of the violation will determine the sanction. In the event of expulsion or exclusion, the guest registration will be retained in order to identify and deny access to the guest.
