Terms of Business – Great Northern A/S

2. Introduction
These terms of business (“Terms of Business”) govern the relationship between you as a customer (“you”) and Great Northern A/S (“Great Northern”, “we” or “us”) when booking hotel rooms with associated facilities and when booking functions, meetings and/or events.
The Terms of Business set out your legal rights and obligations related to the booking and use of our products and services on the website (www.greatnorthern.dk), by e-mail, phone or enquiries in person at the reception.
Before you make a booking, we kindly ask you to take a moment to read these Terms of Business. Depending on your booking, individual parts of the Terms of Business may apply to your purchase. You will also receive the Terms of Business on a durable medium (e-mail) immediately following your booking.


3. Entering into agreements and age requirement
You are responsible for entering or providing correct customer details during the booking process, as we do not subsequently actively validate or check this information.
Great Northern requires that you have attained the age of 18 no later than at the date of agreement. Parts of Great Northern are only accessible to guests above the age of 18. You are responsible for ensuring that the facilities can be used by your guests, if any, in accordance with the order confirmation.
By way of example, please note that the spa facilities (including fitness centre) are only open to guests above the age of 18 (including fitness centre) and that Great Northern may request presentation of a valid ID at the entrance to the spa facilities.


4. Special conditions for booking our products and services
4.1 Booking of hotel rooms
4.1.1 Order confirmation
You will receive an order confirmation to the stated e-mail after completed booking. This is your documentation for your booking. Your booking is not final until you have received an order confirmation. The order confirmation details may only be changed subject to prior written agreement with Great Northern. Only the elements listed in the order confirmation are included in the stated price. Any consumption in excess of this will be invoiced at the price in effect at any time, including in relation to minibar, meals or spa treatments.


4.1.2 Payment Conditions
If you book through our booking portal, you also consent to us deducting the money from your credit card for an amount corresponding to the price of your booking, cf. section 82 of the Danish Payment Services Act (betalingsloven). The credit card deducting will be made as soon as you confirm your booking, and such hold is customary in the hotel industry.

Your payment details will not be processed directly by Great Northern, but by the payment service provider we use for our booking system. We accept the following means of payment: Dankort, Visa card and MasterCard. The payment service provider uses the SSL-security protocol which encrypts information between an internet browser (the card holder) and an internet server (the business). This means that any information transmitted by payment with your card will be protected during the transmission from your computer to us. SSL is a common encryption solution for e-commerce and is considered to be very secure.
Your credit card deducting will be deleted automatically if you cancel your booking within the deadline. See our terms of cancellation below.
When booking by personal contact to Great Northern, you must pay the full amount in advance in accordance with customary professional practice in the hotel industry.
In the event that you are required to pay a deposit in connection with your booking, the deposit will be deducted from the used credit card in accordance with the terms of payment and cancellation stated below.
All payments are in DKK. All prices include VAT and service.
Payment by credit card may be subject to a fee, depending on the credit card you use for payment.
When paying by invoice, the amount invoiced falls due for payment 14 days from receipt of invoice. Late payments are subject to a reminder fee and interest according to the interest act in effect at any time (8% p.a. plus Danmarks Nationalbank’s official lending rate).


4.1.3 Cooling-off period, cancellation and modification
You do not get a cooling-off period when booking our hotel rooms, cf. section 18(2), no. 12, of the Danish Consumer Agreements Act (forbrugeraftaleloven).

As an extra service, Great Northern instead offers a right to cancel and change your booking under certain circumstances as stated in more detail below:

Individual bookings
1 to 3 rooms

Cancellation
• The booking can be cancelled at no charge up to 48 hours prior to arrival.
• Any cancellations within 48 hours of the arrival date will be invoiced at 100% of the most recently agreed amount.

Special requirements:
• No later than 8 days prior to arrival, you are kindly asked to provide information about any guests with allergies or special requirements that we must be aware of.

Group bookings
4 to 5 rooms

Cancellation
• The rooms can be cancelled at no charge up to 15 days prior to arrival.
• Up to 48 hours prior to arrival, 10% of the booking can be cancelled at no charge.
• Any cancellations within 48 hours of the arrival date will be invoiced at 100% of the most recently agreed amount.


Participants and special requirements
• We ask you to please confirm the number of participants no later than 8 days before the start of the event.
• At the same time, you are kindly asked to provide information about any guests with allergies or special requirements that we must be aware of.

Group bookings
6 to 10 rooms

Cancellation
• As security, the total amount will be reserved on a credit card at the time of booking; see details above.
• The rooms can be cancelled at no charge up to 30 days prior to arrival.
• Up to 20 days prior to arrival, 20% of the originally booked rooms can be cancelled at no charge.
• Up to 48 hours prior to arrival, 10% of the originally booked rooms can be cancelled at no charge.
• Any cancellations within 48 hours of the arrival date will be invoiced at 100% of the most recently agreed amount.


Participants and special requirements
• We ask you to please confirm the number of participants no later than 8 days before the start of the event.
• At the same time, you are kindly asked to provide information about any guests with allergies or special requirements that we must be aware of.

Group bookings
11 to 15 rooms

Cancellation
• The rooms and the event can be cancelled at no charge up to 45 days prior to arrival.
• Up to 30 days prior to arrival, 20% of the originally booked rooms can be cancelled at no charge.
• Up to 48 hours prior to arrival, 10% of the most recent number of booked rooms can be cancelled at no charge.
• Any cancellations within 48 hours of the arrival date will be invoiced at 100% of the most recently agreed amount.


Participants and special requirements
• We ask you to please confirm the number of participants no later than 8 days before the start of the event.
• At the same time, you are kindly asked to provide information about any guests with allergies or special requirements that we must be aware of.

All changes and cancellations must be made in writing to Great Northern on booking@greatnorthern.dk or online using the link in your order confirmation, where you can cancel or change your booking in accordance with the terms and conditions.

Save your e-mail receipt for the cancellation. It is your proof that your booking was changed or cancelled.


4.1.4 Fees
Please note that smoking in non-smoking rooms is not permitted, and a fee will be charged in case of smoking in the room / if the room smells of smoke at departure. A fee will also be charged if extra cleaning or repairs are required and/or if one or more non-registered persons stay the night in the room. The fee will always be factual and proportionate in relation to the actual costs incidental to repairing the damage.


4.1.5 Promotions and campaigns
Promotions and campaigns only apply for the period stated in the relevant promotion or campaign and only while stocks last.

Bookings of promotions and campaigns cannot be changed after completed booking, but may be cancelled in accordance with the conditions for cancellation stated below.

It is generally not possible to change the associated services or experiences, which must be enjoyed in the stated period of time.

4.2 Booking of functions, meetings or events
4.2.1 Order confirmation
Functions, meetings or events must be booked by contacting Great Northern on the website, by phone or at the reception desk, stating the nature, date and number of participants of the event in question. Great Northern will subsequently contact you for a specific agreement.

You will then receive an order confirmation to the stated e-mail address, with a detailed description of the agreement. This is your documentation for the agreement made.

There is no final agreement on organising the event until you have received an order confirmation and the agreed deposit has been paid, if applicable.

The order confirmation details may only be changed subject to prior written agreement with Great Northern.

Only the elements listed in the order confirmation are included in the stated price. Any consumption in excess of this will be invoiced at the price in effect at any time, including, without limitation, beverages if not included in the order confirmation.


4.2.2 Terms of payment
In the event that you are required to pay a deposit in connection with your booking, the deposit will be deducted from the used credit card or, if the booking was made by personal enquiry, an invoice for the agreed deposit will be forwarded.
Deposit and payment are charged in accordance with the terms of payment and cancellation stated below.


All payments are in DKK. All prices include VAT and service.

Payment by credit card may be subject to a fee, depending on the credit card you use for payment. We accept the following means of payment: Dankort, Visa card and MasterCard. The payment service provider uses the SSL security protocol which encrypts information between an internet browser (the card holder) and an internet server (the business). This means that any information transmitted by payment with your card will be protected during the transmission from your computer to us. SSL is a common encryption solution for e-commerce and is considered to be very secure.
Upon or in spite of cancellation in due time, Great Northern may request the customer to pay for services that cannot be cancelled, such as stationery, It/technological services, food and beverages, music, etc., subject to presentation of the bill for this.
In case of non-appearance or “no show,” Great Northern is entitled to charge the full price of the entire event, meeting, function and any booked rooms. The conditions for booking rooms in addition to the event, meeting or function are set out above.
When paying by invoice, the amount invoiced falls due for payment 14 days from receipt of invoice. Late payments are subject to a reminder fee and interest according to the interest act in effect at any time (8% p.a. plus Danmarks Nationalbank’s official lending rate).


4.2.3 Cooling-off period, cancellation and modification
Events, meetings and functions booked in your capacity as a business will not be subject to a 14-day cooling-off period in accordance with the Danish Consumer Agreements Act.

Events, meetings and functions booked in your capacity as a consumer (private individual) will generally be subject to a 14-day cooling-off period in accordance with the Danish Consumer Agreements Act. The cooling-off period is reckoned from the receipt of the order confirmation. To exercise your rights under the cooling-off period, you must inform us of our decision to withdraw from the agreement in an unequivocal statement (e.g. by post or e-mail). You may use the model withdrawal form at the end of this document, but this is not a requirement.

The following additional conditions for cancellation and changes apply to both businesses and private individuals:

EVENTS, MEETINGS & FUNCTIONS BELOW DKK 10,000 10.000, –

Cancellation:
10% of the originally booked number of people may be cancelled up to 48 hours prior to the start of the function. Any cancellations within 48 hours of the start of the function will be invoiced at 100% of the most recently agreed amount.

Deposit and payment:
No deposit is paid. You must pay on the day.
Please state the number of persons as well as any allergens, etc., no later than 8 days before the start of the function.
All changes and cancellations must be made in writing to Great Northern.

EVENTS, MEETINGS AND FUNCTIONS BELOW DKK 30,000 30.000, –

Cancellation:
The function can be cancelled at no charge up to 15 days before the start of the function.
After this time, 10% of the originally booked number of people may be cancelled at no charge up to 48 hours prior to the start of the function.
Any cancellations within 48 hours of the start of the function will be invoiced at 100% of the most recently agreed amount.

Deposit and payment:
No deposit is paid. You must pay on the day unless otherwise agreed.
Please state the number of persons as well as any allergens, etc., no later than 8 days before the start of the function.
All changes and cancellations must be made in writing to Great Northern.

EVENTS, MEETINGS & FUNCTIONS ABOVE DKK 30,000 30.000, –

Cancellation:
The function can be cancelled at no charge up to 30 days before the start of the function.
After this time, 10% of the booked number of people may be cancelled at no charge up to 48 hours prior to the start of the function.

Any cancellations within 48 hours of the start of the function will be invoiced at 100% of the most recently agreed amount.

Deposit and payment:

25% of the advance booking must be paid 30 days prior to arrival. The prepaid deposit will be deducted from the final invoice, which is payable on the day, unless otherwise agreed.
Before sending you an invoice for the deposit, we will contact you to follow up on the number of participants.
Please state the number of persons as well as any allergens, etc., no later than 8 days before the start of the function.

All changes and cancellations must be made in writing to Great Northern.

Save your e-mail receipt for the cancellation. It is your proof that your booking was changed or cancelled.

4.3 Spa booking
4.3.1 Order confirmation
You will receive an order confirmation to the stated e-mail after completed booking. This is your documentation for your booking. Your booking is not final until you have received an order confirmation. The order confirmation details may only be changed subject to prior written agreement with Great Northern. Only the elements listed in the order confirmation are included in the stated price. Any consumption in excess of this will be invoiced at the price in effect at any time, including in relation to minibar, meals or spa treatments.

4.3.2 Terms of payment and consent to credit card authorisation hold
If you book through our booking portal, you also consent to us deducting the money from your credit card for an amount corresponding to the price of your booking, cf. section 82 of the Danish Payment Services Act (betalingsloven). The credit card deducting hold will be made as soon as you confirm your booking, and such hold is customary in the hotel industry.

4.3.3 Cooling-off period, cancellation, and changes

4.3.4 Special requirements
We kindly ask for you to provide information about any guests with allergies or special requirements that we must be aware of, no later than 8 days before the booking.

4.3.5 Age limit
Please note that the Great Northern spa facilities are only open to guests above the age of 18.

4.3.6 Guest registration
A guest profile is created for all our guests, so we know who and how many are staying in the spa area, and to be able to enforce the spa area’s rules of conduct towards our guests. In connection with the creation of the guest profile, you must present photo ID. Your photo ID is not registered but used to verify the information provided when creating your guest profile.

4.3.7 rules and regulations
Great Northern has the following rules when staying in and around the spa area. The rules are implemented to ensure a spa environment that invites to presence, immersion, and relaxation with room for everyone.


Please note that only registered hotel guests or spa guests who register as a guest with a valid photo ID are allowed to use the spa area. If you cannot show a valid photo ID, you cannot be registered and you will, therefore, not get access to the spa area.

As a guest, you must familiarise yourself with the rules prior to your visit to the spa area. If you cannot accept the rules, you are asked not to visit the spa area.

4.3.7.1 Behaviour
1. As a guest, you must always adhere to the rules, the staff’s instructions, and any signage in the area.
2. Only the following paying guests are allowed to stay in the spa area: Registered hotel guests or guests registered with valid photo ID. It is only allowed for guests over the age of 18 to use the spa area.
3. Photo ID must be presented at the request of the staff.
4. Use of pools in the spa area is at your own risk.
5. Be considerate and respectful of the staff and other guests. Rowdy and loud behaviour is not permitted and all coming and going must be subdued.
6. Smoking, use of e-cigarettes and use of euphoriant substances are not permitted indoors or in any outdoor areas. It is not allowed to use or be influenced by euphoriant substances while staying at Great Northern.
7. It is not allowed to pour water, oil, or other liquids on the sauna ovens.
8. Inappropriate behaviour, touching, approaches and/or profanity is not permitted.
9. It is not allowed to use electronic devices with camara or record pictures and video in changing rooms and spa area.
10. Threatening, harassing, or coercive behaviour as well as prolonged stay in specific areas are not allowed.
11. It is not allowed to bring food and drinks into the Great Northern area.
12. Music and audio are not allowed to be played during stays in the Spa area.
13. Seats in the spa area cannot be reserved for Spa guests who are not already in the spa area.
14. It is not allowed to play or workout in the spa area.
15. Diving, use of diving equipment as well as free diving is not permitted in the spa areas pools.
16. Guests are only allowed in the guest area. Guests are not allowed in the staff areas or behind counters or in closed staff areas.
17. The staff is allowed to deny groups access to the spa to accommodate the capacity and the hotel guests.
18. It is not allowed to remove sanitary items, towels, bathrobes, slippers, and tableware from Great Northern. Theft will be reported to the police.
19. The staff may request to see the content of bags – however, it is voluntary to comply with the request. If theft is suspected, failure to show the content of bags, may result in the police being called.

4.3.7.2 Sanitation
20. When using the facilities in the Spa area, it is mandatory for reasons of hygiene that guests wash body and hair with soap before putting on swimwear
21. All guests must wear bathing suits in the saunas and use towels or bathrobes to sit or lie on.
22. Guests must always as wear appropriate swimwear or bathrobes when getting treatments or when staying in the spa area. It is not allowed to wear underwear underneath the bathing suit and the bathing suit must be clean and intended for bathing.
23. Shaving is prohibited in the spa area.
24. All valuables and clothing must be stored in the lockers and all storage in lockers is at your own risk.
25. The bins installed must be used for waste disposal.

Failure to comply with the rules or staff instructions may result in suspension and/or exclusion from Great Northern.
Suspension will generally run for 24 months from the time of suspension, and exclusion will be permanent. The nature of the violation will determine the sanction. In the event of suspension or exclusion, the guest registration will be kept on file to be able to identify and reject the guest.


*Great Northern accepts the following valid photo IDs: Driver’s license, passport, and identification card.

Expulsion will generally apply for a period of 24 months from the date of expulsion, while exclusion will be permanent. The nature of the violation will determine the sanction. In the event of expulsion or exclusion, the guest registration will be retained in order to identify and deny access to the guest.

Payment
Payment terms and consent to payment of amounts:
When you make a booking via our booking portal, you also consent to us deducting an amount corresponding to the price of your booking from your credit card, cf. section 82 of the Payment Act (“Betalingsloven”). The amount will be reserved the moment you confirm your booking, and the reservation is customary in the hotel industry.
Between the hours 8pm and 6am, we do not accept cash payment. You must therefore be aware that all payments during this period must be made electronically, cf. section 81(3) of the Payment Act (“Betalingsloven”), which states that cash payment may be refused during these hours.

Terms of Payment
If you book through our booking portal, you also consent to us placing a reservation hold on your credit card for an amount corresponding to the price of your booking, cf. section 82 of the Danish Payment Services Act (betalingsloven). The credit card authorisation hold will be made as soon as you confirm your booking, and such hold is customary in the hotel industry.

5. Changes
Great Northern reserves the right to change the Terms of Business wherever necessary, including in case of changes to legislation, inflation, regulation, new owner or practice. Any significant changes will be notified in reasonable time by e-mail before taking effect.


6. Reservations
We make reservations for typographical errors, pricing errors as well as VAT and tax changes.


7. Complaints
You are entitled to complain about our services and products if you feel that they did not live up to the agreed, promised or presumed standard.
If you wish to complain about Great Northern’s services or products, we ask you to please contact us as soon as possible and within a reasonable period of time after you became aware of the defect.
When contacting us, please describe the nature of the defect and include the invoice/receipt for your purchase. Great Northern will process the complaint as soon as possible and within a reasonable period of time. Great Northern will then send you an e-mail with our assessment of whether the complaint is justified.


8. Practical information about your stay


Check-in and check-out
You can check in from 15:00 on the date of arrival and must leave the room no later than by 11:00 on the date of departure.
If you do not leave the room before 11 on the day of departure, Great Northern reserves the right to invoice you for an additional overnight stay at the applicable rate for the room at the time, unless otherwise agreed.
If you do not use your booking on the arrival date, your booking will be considered to be waived, and if you have booked additional nights in conjunction with the arrival date, such nights will also be considered to be waived and may consequently be booked by other guests, and you will be invoiced the full amount.
You are responsible for contacting Great Northern no later than on the arrival date if you will be arriving after the end of the arrival date (23:59) in order to secure your booking and agree on this with Great Northern.

Reception
Great Northern’s reception desk is open 24 hours. Guests can enjoy complimentary Wi-Fi, parking and bicycle rent.

Golf
If you have ordered golf in connection with the stay and stated the DGU number, we have booked tee times in GolfBox. If you wish to change the times, please contact us at booking@greatnorthern.dk. Changes are subject to tee time availability at the time of change.
We will give you your scorecards at the club house reception where you will also find our pro shop.

Requirements of players on the 9 HOLE ACADEMY COURSE – The course is open for all licensed players – regardless of handicap.
Requirements of players on the 18 HOLE GREAT NORTHERN COURSE – The course is open for players with a handicap of 36 or less.
We recommend aiming for a total playing time of no more than 4.20 hours to ensure an optimal experience for everyone. For this reason, please choose the recommended tee box, maintain a good flow during the round and allow faster players to play through.

To facilitate the work of greenkeepers, trolleys and buggies are not permitted near greens or tee boxes, and you are not allowed to drive buggies in the rough. Please stay on the paths in the area around the club house and training facilities. To assist you during the round, all distances to the centres of greens are stated on the fairway sprinkler covers.
Our on-course service cart offers cold drinks, freshly made sandwiches, sweet and salty snacks whenever you feel like it during the round.
Special requirements may apply in some cases, such as for access to the golf course, which cannot be deviated from. Also, a specific tee-off time may be determined.


Academy
At Great Northern Academy, we focus on quality and an eye for detail. Our facilities set the framework for dedicated golf training for players across all ages and levels. If you wish to book a training session with one of our skilled professionals, please contact us at academy@greatnorthern.dk.


Restaurant
The area around Great Northern is brimming with quality produce and we use local suppliers wherever possible. If you have any allergies or other requirements that the kitchen should consider, we would appreciate you letting us know before you arrive.

We have booked a table for you at the restaurant if this is stated in the order confirmation.

Beverages are not pre-ordered, but please feel free to contact us for a proposed wine pairing.

Breakfast, lunch and dinner are all served at the restaurant. Breakfast is served between 07.00 and 11:00.

Fitness centre:
Great Northern offers a modern fitness centre with the latest cardio equipment that can take you on a run on a Maui beach or a bike ride in the Alps. We also have a highly functional strength training area with equipment to challenge the entire body. The fitness centre is located in the spa. Please contact the reception desk for access.
The fitness centre is open from 08:00 to 19:30.


Baggage storage:
The spa and club house reception desks will be happy to store your baggage until you can check in.


Parking:
You can enjoy free parking in our parking lot, which has designated disabled parking spaces and EV spaces.
Please pay attention to buggies and crossing cyclists.


9. Complaints
If, despite our efforts, we have failed to meet your expectations in connection with your stay at Great Northern, please let us know. Please feel free to contact us during your stay or subsequently, either at the reception desk, the website or by e-mail to info@greatnorthern.dk.

Failing an amicable solution to the issue or misunderstanding, and if you are a consumer, you may submit a complaint to the Danish Complaints Board for Hotel, Restaurant and Tourism on the website hrt-ankenaevn.dk/english. You can also submit a complaint on the European Commission’s online portal for dispute resolution. This is particularly relevant if you are a consumer residing in another EU member state. 11. Applicable law and venue
These Terms of Business are subject to Danish law. Any rules regarding choice of law and the UN Convention on Contracts for the International Sale of Goods (“CISG”) do not apply.
Any dispute which may arise as a result of or in connection with these Terms of Business must be settled by the Danish courts of law.

APPENDIX: MODEL WITHDRAWAL FORM
(this form must only be completed and returned if you can exercise your rights under the cooling-off period in relation to booking of events, meetings and premises in your capacity as a consumer and provided that the services have not been rendered within the 14 days that have elapsed from the time of receipt of order confirmation).

Terms of Payment
If you book through our booking portal, you also consent to us placing a reservation hold on your credit card for an amount corresponding to the price of your booking, cf. section 82 of the Danish Payment Services Act (betalingsloven). The credit card authorisation hold will be made as soon as you confirm your booking, and such hold is customary in the hotel industry.

Please note that the minimum age at Great Northern Spa is 18 years of age.

REQUIREMENT TO PRESENT VALID PHOTO ID AND HEALTH INSURANCE CARD
A guest profile is created for all our visitors. When setting up your guest profile, you must provide your phone number, and a photo of you will be taken so that we know who and how many people are present in the spa area, and to ensure we can enforce the spa area’s rules of conduct with our guests.
As part of creating the guest profile, it is a requirement that you present photo ID as well as your health insurance card. Your photo ID will not be stored but will be used to verify the information provided during the creation of your guest profile.

Guests who do not bring photo ID will be denied entry. Driving licenses, national ID cards, and passports are accepted.

As a guest, you are required to familiarize yourself with the Great Northern Spa Rules of Conduct prior to your visit to the spa area. These can be found via the link above, on our website, or under the payment and cancellation terms when completing your booking.

Expulsion will generally apply for a period of 24 months from the date of expulsion, while exclusion will be permanent. The nature of the violation will determine the sanction. In the event of expulsion or exclusion, the guest registration will be retained in order to identify and deny access to the guest.
